2. What this policy covers

This policy explains how we handle the information you provide through our online inquiry form and, more generally, when you use this website. It applies to the data you actively submit to plan a Zurich experience with us.

3. What data we collect

Through the inquiry form, depending on the services you select, we may collect:

  • Contact details: full name, e-mail address, phone / WhatsApp number, preferred language.
  • Inquiry details: the services you are interested in (private city tour, lake cruise, luxury & personal shopping, VIP tickets & events, hotel & restaurant, full-stay package, business support, or other).
  • Trip details: number of guests and, if applicable, group details; arrival and departure dates; approximate budget; areas and shopping interests; event and booking preferences; length of stay.
  • Additional information you choose to share: the number and ages of accompanying children; dietary requirements (for example halal, vegetarian, or allergies); preferred brands; occasion; and any free-text message.
  • Consent record: the fact that you ticked the consent box, plus the date and time of your submission.

Some of these details — in particular information about children and dietary requirements or allergies — can be sensitive. Please share only what is necessary for us to prepare your proposal, and avoid sending health information that is not needed.

4. Why we use your data (purposes)

  • To respond to your inquiry and prepare a tailored proposal.
  • To arrange and coordinate the services you request (tours, bookings, tickets, transfers, etc.).
  • To communicate with you about your request and, where relevant, to fulfil a contract with you.
  • To keep a record of the inquiry for our own documentation and legal obligations.

5. Legal basis

We process your data on the following bases:

  • Your consent — given by ticking the consent box before sending the form (GDPR Art. 6(1)(a); revFADP). For sensitive data (e.g. information about children, dietary/health details), your explicit consent under GDPR Art. 9(2)(a) applies.
  • Pre-contractual and contractual measures — to take steps at your request before entering into, and to perform, a contract for our services (GDPR Art. 6(1)(b)).
  • Our legitimate interests — to document inquiries and manage our business (GDPR Art. 6(1)(f)), where this does not override your interests.

You can withdraw your consent at any time (see Section 9); this does not affect processing carried out before the withdrawal.

6. How your data is stored and who receives it

Our inquiry form is powered by the WordPress plugin Fluent Forms. When you submit the form:

  • Your entries are stored as a submission in our own WordPress database on our web server.
  • A notification e-mail containing your entries is sent to our internal address so we can respond.

Our website and database are hosted by hosttech GmbH, with servers located in Switzerland. The hosting provider processes data on our behalf under a data-processing arrangement and may access it only as necessary to operate the servers.

We do not sell your data. We share it only with service partners strictly needed to fulfil your request (for example a hotel, restaurant, tour operator, or ticket provider you asked us to arrange), and only to the extent necessary for that booking. We also use Google Analytics for website statistics (see Section 12).

7. Children’s data

Our services are directed at adults. We only collect information about children (such as number and ages) when you provide it so we can plan a family experience. We ask that such details be submitted only by a parent or guardian, and we keep them to the minimum needed for your booking.

8. How long we keep your data

We keep inquiry data for as long as needed to handle your request and, if a booking follows, for the duration of our business relationship plus any statutory retention periods (in Switzerland, business records are generally kept for up to 10 years). Inquiries that do not lead to a booking are deleted after 12 months, unless you ask us to delete them sooner.

9. Your rights

Subject to applicable law, you have the right to:

  • request access to the personal data we hold about you;
  • have inaccurate data corrected or incomplete data completed;
  • request deletion of your data;
  • request restriction of, or object to, certain processing;
  • receive your data in a portable format (data portability);
  • withdraw your consent at any time.

To exercise any of these rights, contact us at info@zurichguidearab.com. You also have the right to lodge a complaint with a supervisory authority — in Switzerland, the Federal Data Protection and Information Commissioner (FDPIC); in the EU/EEA, your local data protection authority.

10. International transfers

Your data is primarily stored and processed in Switzerland. If we need to share details with a service partner outside Switzerland or the EU/EEA to fulfil your request, we do so only where an adequate level of data protection is ensured (for example through appropriate contractual safeguards).

11. Data security

Our website is served over an encrypted (HTTPS/SSL) connection, and we apply appropriate technical and organisational measures to protect your data against loss, misuse, and unauthorised access. No transmission over the internet can be guaranteed to be completely secure.

12. Cookies and analytics

The inquiry form itself sets only the cookies needed for it to function.

In addition, we use Google Analytics, a web-analytics service provided by Google Ireland Limited („Google“), to understand how visitors use our website. Google Analytics uses cookies and similar technologies to collect information such as pages visited, approximate location, device and browser type, and interactions with the site. This information is transmitted to and stored by Google, and may be transferred to servers outside Switzerland and the EU/EEA (including in the United States), where Google applies appropriate safeguards for such transfers.

We use Google Analytics only on the basis of your consent (GDPR Art. 6(1)(a); revFADP), which you can give or refuse via our cookie banner and withdraw at any time by adjusting your cookie settings. You can also prevent analytics cookies through your browser settings or Google’s opt-out browser add-on. For more information, see Google’s own privacy policy at policies.google.com/privacy.

13. Social media

Our website contains links to our profiles on Instagram, TikTok, LinkedIn, and X (formerly Twitter). These are simple links — clicking one takes you to the respective platform.

Once you leave our site and visit one of these platforms, the respective provider becomes responsible for processing your data under its own privacy policy, over which we have no control. If you interact with our profiles there, that platform may collect and process your data according to its terms. Please review each platform’s privacy policy for details.

14. Changes to this policy

We may update this policy to reflect changes in our services or legal requirements. The current version is always available on this page, with the „last updated“ date at the top.
